Safety, Health, Environment & Quality

Fancourt has long recognised the importance of operating a Green Resort and has already taken various steps to ensure that it minimises its impact, while maximising the benefits, of its operating practices on the environment and its community. This is being done in accordance with the statutory obligations under the South African Occupational Health and Safety Act (OHSA, 1993), and relevant environmental laws and regulations.

In order to fully achieve green status, Fancourt is in the process of implementing a comprehensive Safety, Health, Environment and Quality (SHEQ) programme. The programme was started in mid-2007, with the training of Health and Safety Representatives, the initiation of a Safety, Health, Environment & Quality Environmental Management System (EMS) and the appointment of a SHEQ manager to drive the programme forward. The EMS documentation is under review with the first phase of implementation expected to start in October 2008. Some of the key focus areas, amongst others, are:

- Considering the impact of Fancourt on the greater area

- Employee education and encouragement to participate in the process

- Ensuring environmentally-friendly sourcing of products (downstream impacts)

- Minimising the impact on the natural bio-mes at Fancourt

- Minimising waste and implementing recycling

- Reducing energy expenditure

- Reducing water usage

- Water quality monitoring and management.

CHILD POLICY

Fancourt shall allow one child under the age of 12 years to share with two full paying adults in a one bedroom Garden Suite at no additional cost (excluding meals). An additional bed or cot shall be made available in either the bedroom or the lounge.

For two children, or any child 12 years and over, an additional room will be required at the full rate.


The suggested accommodation for families is as follows:

- A two bedroom Garden Suite

- Two inter-leading Standard Rooms

- A two bedroom Garden Studio (please note that these rooms are adjacent and not inter leading, and are therefore not suitable for smaller children).

CANCELLATIONS

No cancellations will be valid unless received in writing by the Reservations Office. The following penalties shall be payable upon cancellation of reservations:


Individuals

- 10% the quoted tariff where the cancellation is received less than 45 days prior to the date of arrival

- 50% of the quoted tariff where the cancellation is received less than 14 days prior to the date of arrival

- 100% of the quoted tariff where the cancellation is received less than 48 hours prior to the date of arrival or in the event of non-arrival.


Groups

- 30% of the quoted group tariff where the cancellation is received between 60 and 45 days prior to the date of arrival

- 50% of the quoted group tariff where the cancellation is received between 44 and 30 days prior to the date of arrival

- 100% of the quoted group tariff where the cancellation is received 29 days or less prior to the date of arrival or in the event of non-arrival.


The above cancellation penalties shall also apply in the event of a reduction in room / delegate numbers.

TERMS AND CONDITIONS

These terms and conditions shall apply to all reservations made with Plattner Golf (Pty) Ltd, Trading as Fancourt, to the exclusion of all other terms and conditions relating to reservations, notwithstanding the fact that such other terms and conditions may be printed on reservation forms used by guests or tour group operators. These terms and conditions shall not be deemed to have been varied or amended in any way by terms and conditions appearing elsewhere unless agreed in writing and signed by both parties.


TARIFFS

All prices quoted according to current tariffs shall be subject to amendment by Fancourt at any time before acceptance and after acceptance should there be any increase in VAT or other statutory levy, or tax payable by Fancourt. All tariffs are quoted in South African Rands and include VAT and the National Tourism levy.


RESERVATIONS

All reservations shall be made in writing by fax or e-mail through the Reservations Office. Cancellation of such reservations shall be subject to the relevant cancellation penalties contained herein. In the case of Group reservations, full Rooming List and Group details shall be provided to the Reservations Office 30 days prior to the date of arrival. A group consists of any booking of 10 rooms or more.


PAYMENT

Fancourt reserves the right to cancel and/or amend any reservation in the event of failure to comply with the terms of payment, and Fancourt shall not be liable for any loss or consequential loss resulting from such cancellation or amendment.


Individuals

Full payment must be received no less than 14 days prior to the date of arrival. In the event of a reservation being made less than 14 days prior to arrival, full payment must be received no later than 7 days prior to the date of arrival.


Groups

A 25% deposit on all pre-booked services shall become due and owing on confirmation of reservations.

A further 50% deposit on all pre-booked services shall become due and owing three months prior to the date of arrival. The balance of all pre-booked services shall become due and owing 30 days prior to the date of arrival.


Vouchers

A voucher will only constitute guarantee and payment, provided credit facilities have been pre-approved.



COMPLIMENTARY POLICY

For every 15 rooms booked, the 16^th room will be on a complimentary bed and breakfast basis.  A maximum of 3 complimentary rooms per group shall be allowed.



CREDIT FACILITIES

Fancourt reserves the right to cancel any credit facility privileges which may have been granted if the full balance due to Fancourt is not paid within 30 days of date of statement.


In the event of the cancellation of credit facilities which have been granted due to non-payment as described above, any and all sums owed will immediately become due and payable.


Fancourt will not be selling any Summer Break packages from the 21 December 2009 - 10 January 2010. Only bed and breakfast rates will apply over this period.

Fancourt reserves the right to impose a minimum night restriction over certain periods, subject to availability on the day of reservation.

Fancourt reserves the right to offer all special rates and packages, strictly subject to availability on the day of reservation.


FANCOURT CANNOT GUARANTEE AVAILABILITY IN OUR RESTAURANTS, GOLF COURSES OR IN THE HEALTH SPA. WE THEREFORE STRONGLY RECOMMEND THAT RESERVATIONS FOR ALL SERVICES ARE MADE PRIOR TO ARRIVAL, TO AVOID DISAPPOINTMENT. PLEASE NOTE, IT IS NOT PRACTICALLY POSSIBLE TO FOLLOW UP TO ENSURE ALL CLIENTS MAKE RESERVATIONS IN ADVANCE.


Where any of these conditions change, any party thereto will have to be notified (and possibly a new contract entered into).
